Boutique, prestigious real estate law firm located in Midtown, Manhattan (one block from Grand Central) is seeking an HR & Operations Manager to assist Managing Partners in all aspects of firm’s business operations and provide strategic planning and implementation for firm’s goals and objectives. The HR & Operations Manager will be responsible for managing the business operations of the firm by providing direction, guidance and advice to attorneys, supervisors and staff in matters pertaining to employee relations, recruiting, employee benefits, information technology (working with outsourced IT vendor), facilities, office services, accounting/billing, legal support, vendor management and any other area needed to ensure optimal efficiency of the firm’s business operations.  PRIOR LAW FIRM EXPERIENCE IS MANDATORY.

Primary Responsibilities (not limited to):

Human Resources Management

  • Full cycle legal and administrative recruiting for firmwide positions including attorneys, managers, paralegals, interns, etc.
  • Employee onboarding & offboarding, including conducting exit interviews and terminations when necessary
  • Handle all employee relations matters confidentially, independently, and diplomatically. Exercising sound judgement and discretion on when to escalate matters to Managing Partner
  • Collaborate with management to address employee performance, including reviewing the content of performance evaluations and performance improvement plans to ensure they are both effective and compliant
  • Provide benefits administration and management of PEO; review and negotiate employee benefits plans and options annually
  • Develop, align, and execute HR programs and initiatives in support of business plans; manage, measure progress and drive projects to successful completion
  • Manage HRIS and integrity of data, track and approve employee time off, work from home, etc.
  • Stay abreast of current and upcoming employment and labor laws (federal, state, and local) and market trends in the legal industry
  • Oversee and revise practices & policies of the office and make changes in accordance with firm’s business operations and goals, and federal/state/local law requirements
  • Partner with management to review trends, surface issues and resource problems
  • Work with outsourced IT vendor to implement necessary technology initiatives firmwide that align with firm’s business objectives and goals
  • Maintain strong understanding of software that supports law firm business operations (e.g., document management, document comparison, advanced PDF editor, etc.)
  • Research and procure necessary products to enhance the efficiency and security of the firm’s business operations
  • Manage and review the need for new IT equipment (e.g., computers, phones, laptops, etc.) 

Facilities & Office Services Management

  • Manage responsibilities of Office Manager/ Office Services Clerks
  • Liaise with building management and security for facility and building related issues (e.g., maintenance, vendor access and insurance requirements)
  • Office space planning and furniture needs
  • Manage office security key-card system and register new IDs as needed

Legal Support Management 

  • Provide guidance and advice to legal support supervisors on how to manage staff and department workflow as required to support firm’s business operations and clients
  • Organize relevant training sessions and review training materials
  • Oversee workflow and management of all legal support professionals

Accounting & Financial Management

  • Partner with Accounting department to support their needs and initiatives
  • Maintain strong understanding of legal billing software
  • Monitor and ensure timely billing is submitted by billable employees
  • Make recommendations for changes to processes for optimal business efficiency

Professional Liability & Business Insurances

  • Work with Insurance Broker & Managing Partner to complete all applications to market firm’s business insurances and make suggestions on strategies for cost savings
  • Ensure New Attorney Professional Liability Application is completed and submitted to Broker for all new attorney hires

Key Skills & Requirements:

  • Bachelor's degree is required, preferably in business administration, human resources, or related field. MBA or law degree not required, but a plus; SHRM certification a plus
  • Minimum of five (5) years managing law firm operations and handling employee relations & recruiting at all levels
  • Ability to build trust, motivate, mentor, and develop strong business relationships across all levels
  • Maintain strict confidentiality and discretion in handling sensitive information
  • Ability to think strategically and analytically when assessing and planning firm’s needs
  • Thorough understanding of law firm business operations and working in a fast paced, service-oriented environment
  • Takes initiative, proactive and able to work independently to meet deadlines and perform responsibilities to get the job done
  • Persuasive, cooperative personality with friendly demeanor and a sense of humor

This is a high visibility position that will require working as a true business partner alongside the firm's management team and all employees to cultivate and maintain a positive and productive work environment.
